About the role

The Executive Assistant (EA) role is a strategic, tactical and hands-on role directly supporting the General Counsel and Chief Finance Officer in management and growth. The primary objective of the EA is to ensure that the plans and priorities set by the General Counsel and CFO are effectively coordinated and executed in the midst of a fast pace of change.

Roles and Responsibilities

  • Provide administrative support to Senior Management
  • Work with the General Counsel and CFO to ensure weekly priorities are set and maintained, including adjusting schedules and meetings to protect stated priorities, maintaining MOMs for meetings
  • Manage calls & calendar, File and manage paperwork/documentation. Mail letters
  • Re-organize bi-weekly 1:1 decks used for check-ins between Gneral Counsel and CFO and direct reportees
  • Support the General Counsel and CFO in driving a strong, cross-departmental agenda of accountability, execution and delivery
  • Coordinate meetings, routing correspondence between the General Counsel and CFO and multiple stakeholders/teams
  • Develop programs to support strategic direction, Creating and managing short as well as long term goals
  • Prepare reports and other confidential material, create reports based on analysis of the data
  • Manage TGIMs/Leadership coordination. Event Management
  • Manage expenses. Arrange travel
  • Reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Assist the integration of new talent into the department.
  • Maintaining database of all relevant landlords/brokers/vendors/stakeholders

Skills and Qualifications

  • Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office Skills, Organization, Time Management, Presentation Skills, Equipment Maintenance, Travel Logistics, Verbal Communication
  • Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position
  • Full comprehension of office management systems and procedures
  • 3-6 Years of experience
  • Ability to read reports and make suggestions based on learnings
  • Exemplary planning and time management skills
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Discretion and confidentiality
  • High School degree; additional qualification as personal assistant would be considered an advantage
